General Terms of Business

The Company
The Bureau, the company, based at PO Box 135, Worsted Lane, East Grinstead, RH19 3FB., is an Internet Marketing Company, specialising in the design and delivery of Websites and email Marketing services to the UK Insurance and Financial Services sectors and other general businesses.

Whilst large projects and some bespoke work may each be subject to specific business terms, the following Terms of Business will apply to each purchase order and or instruction given to The Bureau by an outside party, the client.

Web Design and Publishing

The Bureau, through the offer of a variety of Website designs, unless a specific bespoke site is ordered, will design and deliver the Website using software it deems suitable and effective, which may vary from time-to-time. Certain “Template” forms and page layouts, as typically discussed and available to view by clients, will be used within these Websites, unless specified. On receipt of suitable and sufficient information and payment of a deposit cheque with a signed purchase order, The Bureau will create the site’s text and design proposals and present these for approval. This will be sent by email and or land post. Once the site’s text and any required illustrations are approved by the client, The Bureau will design the site and publish it to one of its “Development Sites” for the client to view and check online. It is assumed that ONLY minor amendments may be required at this final stage, such as spelling or grammatical mistakes. Any reconsideration of the design and text by the client, however minor, will be deemed to be additional work and chargeable.

Website Design Timescales and Delivery
Upon the receipt of a signed order and sufficient deposit cheque / payment, The Bureau commits to produce a word processed Website Design Pack or specification within 10 to 14 working days for the client’s approval. It is assumed that the client will be available to review this document at this time and that their approval and or refinements will be returned to The Bureau in writing within 10 to 14 working days, unless alternative arrangements have been made in writing. Having received the client’s approval to proceed to the programming stage The Bureau will create the site and publish it to a development address for the client to review when minor refinements may be required and made.

Suitable Website Hosting facilities must be available and are deemed to be the responsibility of the client. If no such facilities are available and the site requires to be re-published at some future date when such facilities are put in place, The Bureau reserves the right to charge for this additional work and or delays.

At the time of publishing to the client’s URL, The Bureau will submit the site to the major Internet Search Engines and Directories. Additional Search Engines or Directories if given to The Bureau in time can be added to this list to form part of the main submission. No guarantee can be given that any of these search engines will list the submitted site or that it will be given a high ranking or position.

Any pictures and illustrations that the client wishes to supply for use on his/her Website are requested to be supplied in a PC TIF, JPEG or GIF format.  The Bureau cannot take responsibility for any copyright (or content supplied/chosen/approved by you) infringement caused by materials submitted and/ published to the client’s Website. We reserve the right to refuse any material of a copyrighted nature unless adequate proof of permission is given to use such material. The Bureau will not be liable for any costs incurred, compensation or loss of earnings due to the work carried out on behalf of the client /s or any of the clients appointed agents.

The content and costs featured in any proposals/estimates supplied by The Bureau may be subject to amendment should new and different information and or detail be offered which may result in extra programming and or design work being necessary.

Annual and Renewable Services
The Bureau will invite the renewal of annual services one month in advance of their annual renewal / anniversary date. To ensure the continuity of these services, it is assumed that all annual services are ongoing until they are cancelled. It is the responsibility of the client to cancel in writing one month in advance of their renewal date any renewable service that is no longer required. If this length of notice is not received it is assumed that the service is required for another 12 months, for which the client will be liable. Registration of Domain names if a part of a combined annual policy will be renewed annually. If they are separate Domain only registrations these will be renewed every two years. In both cases one month’s notice must be given to cancel their renewal. It is the client’s responsibility to know when these renewal dates are due, although The Bureau will issue a formal renewal invitation and invoice in advance of them.

Payment Terms
The Bureau asks its clients to pay promptly following the completion of the work, products or services ordered. Typically The Bureau requires ALL annually charged facilities to paid for in full at the time of ordering and a deposit of no less than 50% of all single charge items such as a Website Design order, with the remainder payable on the day the site has been completed. Once an order is received and work has begun, the sales deposit will not be refundable. Having completed the project in accordance with the Website Design Pack or specification and fulfilled any final last minute refinements, The Bureau will expect payment of any remaining monies for which it will have invoiced the client. This payment should not be withheld and or delayed owing to such matters as a compliance report, or any other matter beyond the responsibility or control of The Bureau, unless by special written agreement. Ownership of the work and or Website and any Copyrights will remain the property of The Bureau until full payment is received.
